How it Works
Auto-Book is designed to automatically reserve a space when there is not a scheduled meeting taking place. There are two pieces of Auto-Book functionality that are important to understand, Duration and Extension Point.
Default Setting: 5 minutes
Auto-Book will create small, incremental reservations for a space when it is occupied during a time with no scheduled meeting. Because of this, the Auto-Book Duration is 5 minutes. Auto-Book is triggered within moments by using Workplace Advisor sensors to determine when someone has occupied a space.
An Auto-Book created meeting will be titled as "Walk-In".
Default Setting: 3 minutes
Auto-Book has a built-in Extension Point which happens 3-minutes into the 5-minute Auto-Book meeting. If the space continues to show occupied in Workplace Advisor at this point an additional 5 minutes is added to the reservation.
How it Works
Auto-Release is designed to free up spaces that are held captive by empty meetings. Specifically, Auto-Release can help free a space when:
- Meetings never happen
- Meetings end early
Auto-Release examines a set of criteria before releasing a space, these are Minimum Meeting Length and the Release Point.
Minimum Meeting Length
Default Setting: 30 Minutes
Auto-Release is designed to work for longer meetings that never begin or eventually go empty. Because of this, Auto-Release will only apply to scheduled meetings with a Minimum Meeting Length of 30 minutes or longer.
Default Setting: 10 Minutes
It takes time for people to show up to their meetings and get settled in and sometimes need to briefly leave the room. With this in mind, a meeting room will need to remain unoccupied for 10 consecutive minutes before the meeting is released.
Microsoft O365 is required and each space requires a resource calendar to be configured on Exchange.
Auto Book & Auto Release have been built on our Workplace Advisor microservice architecture. As such, an O365 Admin will be asked to approve this service for your employees through the admin consent link below. This is what allows the Touchless Reservations features to access the calendar events in O365 Exchange for configured rooms to add/edit meetings.
- Admin Consent Calendar – This consent grants Auto Reservation Management to access the Calendar information in a Read and Write capacity for booking and releasing meetings.
- In addition, please provide the following:
- Your Azure Active Directory Tenant ID
- You can find your Tenant ID in the Azure AD Portal
